CertPing

Legal

Terms

These terms govern your use of CertPing at certping.co.uk. By creating an account, starting a trial, or paying for a plan, you agree to them. If you do not agree, do not use the service.

Who provides the service

CertPing is operated by Phil Stone (“we”, “us”). Trading address: 2 Hazelgrove Avenue, Craigavon, BT66 7TF, Northern Ireland. Not VAT registered. Contact: hello@certping.co.uk or the contact form. “You” means the person or company using CertPing.

What CertPing is

CertPing is a reminder and storage tool for UK trades and small crews: a crew × certificate matrix, a vault for PDFs and photos, expiry emails, a month calendar, CSV import/export, and a printable contractor pack. See Help and About for detail.

What CertPing is not

CertPing does not:

  • file CSCS, Gas Safe, or other applications on your behalf
  • book exams, training, or renewals
  • replace a qualified health & safety adviser, lawyer, or insurer
  • guarantee that you pass an audit, win a tender, or avoid fines
  • provide quoting, invoicing, site diaries, RAMS libraries, or a full HSEQ suite

You remain responsible for keeping tickets, insurance, MOT, tax, and the rest in date. We remind you; we do not certify compliance.

Your account

  • You must provide accurate company and contact details.
  • Keep your password confidential. You are responsible for activity under your sign-in.
  • One company vault per subscription. Do not share logins across unrelated businesses unless that is how you genuinely operate.
  • You must have a lawful basis to store personal data about your workers and to email them reminders (for example contract, legitimate interest, or consent). See our Privacy policy.
  • You must be at least 18 and using CertPing for business purposes.

Free trial

New cloud accounts can start a 14-day trial on Duo or a 7-day trial on Crew through Stripe Checkout. No card is required to start, and you are not charged during the trial. Add a card on Billing before the trial ends if you want the plan to continue; otherwise it stops and editing, uploads, and imports stop until you subscribe — you can still read and download. We may change or withdraw trial offers; what you see on Pricing at sign-up applies.

Plans and pricing

Paid plans are billed monthly through Stripe. There is no minimum term — cancel anytime from Billing.

  • Duo — £9/mo; 2 people, 1 GB vault; 14-day trial, no card
  • Crew — £19/mo; up to 11 people, 5 GB; 7-day trial, no card
  • Squad — £39/mo; up to 25 people, 20 GB
  • Cap — £100/mo; up to 100 people, 80 GB. Extra people included on Cap; extra vault space is +£5 / 5 GB on Billing.

Not VAT registered — the price you see is the price. Prices on the site at checkout apply. Promo codes may be offered separately. Customers who locked Duo at £3/mo during the launch window keep that rate while their Duo subscription continues.

Payment and billing

  • Card payments are handled by Stripe. A Duo or Crew trial starts without a card. Adding a card, or subscribing to Squad or Cap, authorises recurring charges — after the trial where there is one, otherwise from the start. Pricing may also show a yearly total of ten monthly list prices for twelve months. Yearly checkout bills ten months of the monthly list, once a year.
  • If a payment fails, status moves to past due. Update your card on Billing. If payment is not fixed, the paid period ends and the vault becomes read-only (see below).
  • Invoices and receipts are available through Stripe where applicable. Questions about a charge: email us with your company name and date.
  • We may change list prices for new sign-ups. Existing locked-in launch rates apply as described at sign-up.

When payment ends — read-only vault

When a paid month ends without renewal (cancellation or failed payment after grace), you may still read and download your records. You cannot edit, upload new files, or import CSV until you pay again. We do this so you are not locked out of your tickets mid-job, while keeping ongoing storage fairly tied to an active plan.

Cancellation

Cancel from Billing (or ask us). Cancellation stops the next charge; access continues until the end of the current paid period, then read-only rules apply unless you resubscribe. Deleting browser data or uninstalling the PWA does not cancel Stripe billing — use Billing or email us.

Acceptable use

You agree not to:

  • upload unlawful, offensive, or malware content
  • attempt to break into other companies’ vaults or our infrastructure
  • scrape, overload, or reverse-engineer the service beyond normal use
  • use CertPing to spam people unrelated to your company’s certificate reminders
  • misrepresent your identity or resell access without permission

We may suspend or terminate accounts that breach these rules or abuse the service.

Your content

You keep ownership of files and data you upload. You grant us a limited licence to store, back up, display back to you, and email reminders about that content — only to run CertPing. You confirm you have the right to upload it (including photos of certificates belonging to your crew).

Export your data anytime via CSV and downloads. If you want cloud deletion, email hello@certping.co.uk from the account holder address.

Availability and changes

We aim for reliable uptime but do not guarantee uninterrupted service. Maintenance, AWS outages, or bugs may occasionally delay reminders — check the dashboard if a ping is late. We may improve, change, or retire features; material changes to paid plans will be communicated where reasonable.

Disclaimer

CertPing is provided “as is” to the fullest extent permitted by law. Reminder timing depends on correct expiry dates, working email inboxes, and our schedulers — a missed email does not shift legal responsibility for an expired ticket. Nothing here excludes liability for death or personal injury caused by negligence, fraud, or anything else that cannot be excluded under English law.

Limitation of liability

To the extent permitted by law, we are not liable for indirect or consequential loss (lost profit, lost jobs, fines, or reputational damage) arising from use of CertPing, missed reminders, or read-only mode after cancellation. Our total liability for any claim relating to the service in a 12-month period is limited to the fees you paid us in that period (or £100 if you used a free or complimentary account), except where law requires more.

Intellectual property

CertPing’s name, branding, site design, and software belong to us or our licensors. You may not copy or reuse them except as normal browsing and use of the product allows.

Third-party services

Stripe and AWS have their own terms. Your use of them through CertPing is also subject to those providers. We are not responsible for their outages or policy changes beyond our reasonable control.

Complimentary access and promo codes

We may grant free or discounted access (owner passes, betas, promo codes). Such access can be withdrawn or changed at any time unless we agreed otherwise in writing. Complimentary accounts still follow these terms.

Demo mode

The on-device demo is for evaluation. Sample data is not a cloud account. Do not rely on demo storage for real compliance records — sign up for a cloud vault.

Termination

You may stop using CertPing anytime. We may terminate or suspend access for breach, non-payment, or if we discontinue the service (with reasonable notice where possible). Sections that naturally survive (liability limits, your content licence for processing already done, governing law) continue.

Governing law

These terms are governed by English law. Courts of England and Wales have exclusive jurisdiction, without prejudice to mandatory consumer protections if you qualify as a consumer and live elsewhere in the UK.

Changes to these terms

We may update these terms. The date at the top changes when we do. Continued use after an update means you accept the revised terms. If you disagree, cancel before the next billing cycle.
